User: describe the procedures that need to be followed when archiving, retrieving and deleting information. Your answer should cover procedures for both electronic and paper-based information.

Weegy: Archiving information involves removing old files (sometimes referred to as dead? or inactive? files) from the main filing system ? thereby freeing up space for current files ? but with the advantage that they can be retrieved at a later date if [ required. Most organisations need to archive some of their information, so there are usually set procedures to follow. When archiving certain types of information, organisations must also comply with legal requirements ? you will look at this issue in more detail later in the unit. As a general rule, information should be archived when it is no longer currently used by an organisation. This means that a great deal of space can be freed up for current files, which need to be accessed regularly, and your filing cabinet will not be overfilled with documents that you rarely use. Difficulty working with filing cabinets because they are overloaded with documents is a common problem in offices. Procedures for archiving information Procedures for archiving information are set out by the organisation. They are the rules which everyone must work within when archiving information. Archiving procedures will tell you: what must be archived when it must be archived and for how long how it must be archived. Legal requirements relating to archiving info source: ]

. Explain the purpose of agreeing objectives and deadlines when researching information
Weegy: It is important to agree on objective so that the group can be focus on the require information gathering. Being ‘focus’ is essential on getting the desire result. As well as not to waste resources and man hours. As information e.g. [ news are being update by the hour. Therefore with a well defined deadline, we can better gather the relevant information as require. No point to have a long deadline and present a report of “yesterday” news. Who is interested in old news ? How much will you pay for yesterday newspaper ? is it worthless ? a copy of today newspaper might cost your $1, but yesterday is worthless. Remember when you buy a copy of newspaper or magazine, it is essential that you are buying ‘information’ not just paper !! it is valuable because it current. Therefore, in conclusion. Objectives and deadline must go hand in hand. With the right objective and reasonable deadline only then can you provide a useful relevant piece of informing. Otherwise you will be just print papers. ! Hope this helps !! ] (More)
